Booking guidelines

How booking works here, so nobody is guessing. If anything is unclear, ring the office — that is always faster than reading.

1

Holds, and what they mean

When you ask about someone we put a hold on those dates. A hold is not a booking. It means we are keeping the dates for you while you decide, and it means we will come back to you before letting them go.

First hold
You have first claim on those dates. If someone else asks, we come to you first.
Second hold
Someone else is ahead of you. If they release, you move up. We will tell you where you stand — nobody is left guessing.
Weather hold
Dates held against a cover day. These usually need to be called earlier than a standard hold, and we will tell you when.
Survey
A recce before the shoot. Held and treated like any other day, and the crew are told it is a survey so they come prepared for one.

Crew can sit on more than one hold at a time. That is normal, and it is why we ask you to confirm as early as you can.

2

Confirming

Let us know as soon as you know. It costs nothing to confirm early and it is the single thing that makes the whole arrangement work — for you, for the crew, and for whoever is behind you on those dates.

If a job is still shaky, say so. We would far rather hold something loosely and know it than be told it was firm and find out otherwise.

We will chase you as the dates get close. That is not pressure — it is us making sure nobody is holding dates for a job that is not happening.

3

Changes

Dates move. Weather, schedules, locations falling through — all of it is normal and none of it is a problem if we hear about it.

Tell us as early as you can and we will move the holds, tell the crew, and let you know if anything no longer works. Adding a day is usually straightforward; moving a block at short notice is harder, and the sooner we know the better the outcome.

4

Releasing

If you no longer need someone, tell us. Releasing dates early costs you nothing and puts that person back in front of other work.

Terms around late changes are set out when we confirm the booking. They vary by the kind of job and we will always talk you through them before anything is agreed.

5

Coming through us

Please book through the office rather than approaching crew directly. It is not about keeping you apart — it is that we are the only ones who can see everything someone is holding, and a direct arrangement is invisible to us until it clashes with something.

If you have worked with someone before and want them again, say so. We will always put a request like that first.

6

What we need from you

Dates
Including prep, travel and any cover days you are holding.
Location
Roughly is fine early on.
What the job is
A line is enough. It tells us who suits it.
Who is booking
A name and a number we can reach on the day.
Call times
As soon as you have them, and any changes after.
7

Out of hours

The office is open Monday to Friday, 8am to 6pm AEST. Outside that, ask through the website and it will be read and sorted before we open.

If something is genuinely urgent overnight, the number on this site still reaches us — use it, but use it for urgent.

Anything not covered here

Ring the office. Thirty seconds on the phone beats an hour of reading, and we would rather sort it now than untangle it later.
